These Terms govern your access to and use of the CoachCast mobile and web apps (the “Service”). By using the Service you agree to these Terms. If you are using CoachCast on behalf of a club or organisation, you agree to them on that organisation’s behalf.
1. Who can use CoachCast
CoachCast is intended for coaches, club administrators, athletes, and the families of athletes, organised through a club or organisation. Athlete and family access is created and managed by a coach or club administrator. If you are a coach, you are responsible for having the appropriate authority to record sessions and to manage athlete information, including the information of minors.
2. Accounts & security
You are responsible for keeping your sign-in credentials secure and for activity under your account. Tell us promptly if you believe your account has been compromised. We may suspend accounts that we reasonably believe are being misused or that put others’ safety or data at risk.
3. Acceptable use
You agree not to:
- Record anyone without the consent and authority required where you coach, or use the Service in breach of safeguarding obligations.
- Upload content that is unlawful, abusive, or that you do not have the right to share.
- Attempt to access data belonging to athletes, families, or clubs you are not authorised to see, or to circumvent the Service’s access controls.
- Interfere with, overload, or reverse-engineer the Service.
4. Your content & coach-gated release
Recordings, transcripts, and observations created through the Service (“Content”) belong to you and your club. You grant CoachCast the permissions needed to host, process, transcribe, and display that Content so we can provide the Service.
CoachCast is built around coach-gated release: athlete and family feedback is prepared but is not shared with students or parents until a coach explicitly releases it. Notes a coach marks as welfare or injury notes are never released to students or parents and are restricted to authorised staff. You remain responsible for the accuracy and appropriateness of feedback you release.
5. Transcription & AI features
The Service uses automated speech-to-text and AI “wisdom” features to transcribe recordings, split them into observations, surface patterns, and rewrite released feedback for each recipient. These features are assistive and can make mistakes. A coach should review attributed observations and any feedback before releasing it.
6. Fees & payments
CoachCast bills the club, never athletes or families. Two charges apply, both in Australian dollars and inclusive of GST where stated, processed by Stripe:
- Coach seats. $25 per coach per month, billed as a recurring subscription for the number of seats your club selects. You can change seats or cancel any time from the billing portal; cancellation takes effect at the end of the current billing period.
- Session reports. $0.95 per athlete session report, drawn from a prepaid balance held for your club. When the balance can no longer fund a report, we automatically charge your club’s saved card the top-up amount your admin selected ($20, $50 or $100) — by saving a card you authorise these automatic charges. Your admin can change the top-up amount or top up manually at any time.
Your prepaid balance does not expire. If you close your club’s account, we will refund any unused prepaid balance on request. If a payment fails, new report generation pauses until the balance is topped up — recording, review, and access to your existing data are never blocked or deleted for non-payment. We may change prices with at least 30 days’ notice; changes never apply retroactively to a balance you have already purchased.
7. Deletion & termination
You can stop using the Service at any time. A club administrator can authorise deletion of an athlete’s record or of an entire account; deletion then runs as a cascading, audit-logged erasure as described in our Privacy Policy. We may suspend or terminate access for breach of these Terms or where required to protect the safety of others.
8. Disclaimers & liability
The Service is provided “as is” and “as available.” To the maximum extent permitted by law, CoachCast disclaims implied warranties and is not liable for indirect or consequential loss. Nothing in these Terms limits liability that cannot be limited by law. CoachCast is a coaching tool and is not a substitute for professional medical, safeguarding, or legal advice.
9. Changes to these Terms
We may update these Terms as the Service evolves. If we make a material change we will update the “last updated” date above and, where appropriate, notify you in-app. Your continued use after a change means you accept the updated Terms.
